Privacy notice for the customer portal
Draft for solicitor review. The main privacy notice on the website applies as well.
Who we are
BluePrint Local Ltd runs this portal. We are the data controller for the details you give us here.
What we collect and why
- Your name, business name, email and (if you choose one) a username, so you can log in and we can talk to you. Lawful basis: performing our contract with you.
- Orders, quote requests, projects, statements of work, messages and files you upload, so we can do the work you ask for and keep a record of what was agreed. Lawful basis: contract, and our legal duty to keep business records.
- Invoice records (entered by our staff), kept for 7 years under tax law. Lawful basis: legal obligation.
- Security records: a hashed form of your IP address, log-in attempts and an audit trail of changes. Lawful basis: our legitimate interest in keeping your account safe.
Cookies
The portal sets one strictly necessary cookie to keep you logged in. It is deleted when you log out or after 30 minutes of inactivity. There are no advertising or analytics cookies. Your theme choice (light or dark) is stored on your device only.
Who else sees your data
Our hosting provider (Krystal, UK) stores the portal and database. Emails are sent through our hosting provider's mail service. Nobody else, unless the law requires it. Payment details, when payments are switched on, will be handled by the payment provider on their own pages: we never see card or bank numbers.
How long we keep it
Account details while your account is open and 30 days after it closes; orders, agreed statements of work and invoice records for 7 years; files for as long as your project needs them, then 2 years; security logs for 90 days; the audit trail for 7 years. Unconfirmed sign-ups are removed after 30 days.
Your rights
You can download everything we hold about your account from your details, and ask us to close your account there too. You can ask us to correct anything, and you can complain to the Information Commissioner's Office if you are unhappy with how we handle your data.
